Job Title: Supervisor, Outpatient Psychiatric Services

Reports To: Operations Director, Outpatient Psychiatric Services

Department: Behavioral Health Services

Summary: 

The Supervisor is a leadership position that may have a requirement to complete billable time. The Supervisor is responsible for providing guidance and direction to staff, clients, and program operations. The Supervisor position will be responsible for the development of staff; engagement in staff; quality operations; program activities and tasks; networking; and leadership and management development. The Supervisor should display excellent interpersonal and organizational skills; an understanding of program operations and community systems; and initiative in developing and implementing program policies.

Duties and Responsibilities:

A Supervisor in Outpatient should be prepared to perform the following duties and responsibilities:

    • Complete billable time as required by the budget approved annually for each program.
    • All billable time documentation including progress notes and treatment plans completed within outpatient policy timelines.
  • Ensures compliance with regulations and program requirements as dictated by state licensure and MCO policy.
    • Audit one chart for every clinician at least one time per month.
    • Random monthly customer satisfaction audits completed and recorded in Sharepoint
    • Design and implement corrective action plans required of the agency or program.
    • Design and monitor corrective action plans for staff showing poor performance.
    • Ensure program is prepared for periodic MCO, state, and third-party payer audits.
  • Conduct staff meetings and supervisory sessions.
  • Collect and record monthly KPI data on Sharepoint including tracking client census numbers
  • Complete treatment plans for medication-only customers as well as the treatment plans required in course of completing billable time.
  • Review all treatment plans queued through the Electronic Health Record system and communicate all revisions to therapist
  • Coordinates outpatient staff activities and assignments; clarifies roles and responsibilities; ensures completion of all team assignments and tasks; Answer questions related to psychiatric services. Seek answers or problem-solve as necessary.
  • Implements policies and procedures; monitors compliance with organization procedures, as well as state and federal regulations;
  • Communicates organizational policies and procedures with staff as required.
  • Identifies staffing needs, assists the organization's Directors in hiring new staff; completes performance feedback and evaluations on employees;
  • Works collaboratively with community and referring agencies; performs marketing and public relations activities;
  • Manages staff, including performance coaching, clinical and administrative support, and leadership activities.
  • Work as a positive team member, consistently working in a trusting and cooperative manner with fellow team members and supporting the team's common operating approach;

  • Demonstrates commitment to professional growth by attending all required meetings, trainings and organizational trainings. Must obtain the required training or continuing education hours as established by the Division each year of employment; and
  • Performs other duties as assigned by organizational leadership.  
  • Maintain an active valid driver's license issued by state in which they reside and must immediately notify their supervisor or Human Resources if their license is suspended or revoked for any reason.

Educational Qualifications:

  • Thorough knowledge of the systems in which services are delivered. 
  • Graduate degree in a clinical field issued by an accredited educational institution that included a clinical practicum is required.
  • Licensure is preferred and required in some areas; i.e. Licensed Social Worker, Licensed Clinical Social Worker, Licensed Professional Counselor, Licensed Marriage & Family Mental Health Professional.
  • Specialized learning in Resiliency & Trauma.
  • Specialized learning in evidence-based treatment interventions.

Work Experience:

A minimum of two years of experience working with children, adolescents and their families in a clinical setting is required.

Skills:

Technical and operational competence is required in program operations. Excellent organizational and interpersonal skills. Knowledge in effective team operations, leadership skills, goal setting, and problem solving. Acceptance of style diversity among team members is imperative. Willingness to listen to team members and use their expertise.

Working Conditions:

Work setting is an outpatient clinic building or satellite location. Clientele may at times be verbally or physically abusive.

Work Agreement Requirements

  • A full day for a salaried position is a minimum of 7.5 hours per day. Start and end times for the employee may vary. 
  • Employees are expected to comply with all conditions and requirements of the Employee Handbook and any amendments thereto shall remain in effect.
